We are seeking a dynamic Portfolio & Planning Specialist to play a pivotal role in the coordination, integration, and management of delivery across the Procurement Strategy, Risk & Governance portfolio. The position will also support the Global Procurement Senior Leadership Team on key planning initiatives and annual priorities.
This is a unique opportunity to gain exposure to a complex and multi-disciplinary delivery portfolio while contributing to the enablement of the Strategy, Risk & Governance team and the Global Procurement Function. The successful candidate will be instrumental in designing, embedding, maintaining, and improving robust program management frameworks while operating in line with our collaborative culture and strategy.
Reporting to the Senior Manager Procurement Strategy & Portfolio, you will be entrusted with the following core accountabilities:
Governance and Portfolio Oversight
1. Establish and maintain governance standards to ensure portfolio oversight and disciplined program delivery.
2. Facilitate program delivery through routines, planning artefacts, tooling, and regular reporting mechanisms.
3. Monitor risks and escalate issues impacting program goals to senior management.
4. Support Project Leaders on the development and maintenance of detailed project plans, ensuring alignment with the overall program.
Frameworks and Integration
1. Design, implement, and continuously improve program and portfolio management frameworks, tools, and processes.
2. Promote integration across cross-functional teams by standardizing tools and practices.
3. Collaborate with stakeholders to embed new frameworks and ensure alignment with the organization’s strategy.
4. Incorporate feedback and lessons learned into future delivery approaches, fostering continuous improvement.
5. Work in partnership with the Change Manager to align program and change management activities.
Performance Tracking and Delivery Assurance
1. Define and track performance indicators to measure program success and progress against portfolio goals. Analyse portfolio performance metrics to provide actionable insights and recommendations.
2. Monitor and evaluate the performance of programs and initiatives to ensure they meet defined objectives and timelines.
3. Address delivery challenges proactively and escalate critical issues when necessary.
Risk Management and Compliance
1. Maintain a central approach to portfolio risk management and monitoring that includes identification, assessment, tracking and mitigation of risks associated with the portfolio.
2. Maintain a risk register and regularly update stakeholders on mitigation plans.
Stakeholder Engagement and Strategic Support
1. Provide key support for planning and strategic priorities to support Global Procurement Senior Leadership Team, including facilitation of the annual priority setting process and regular progress reporting and review cadences.
2. Prepare and deliver accurate, timely, and insightful reports on progress, risks, and performance to senior stakeholders.
3. Influence and facilitate communication across diverse stakeholder groups, ensuring transparency and collaboration.
4. Provide analytical and operational support to optimize resource allocation and decision-making processes.
What you’ll bring
To be successfully considered for this role, you will have:
1. Proven experience in program management, project coordination, or PMO roles within a complex, multi-disciplinary environment.
2. Strong knowledge of program management frameworks, tools, and methodologies.
3. Demonstrated ability to manage risks, track performance metrics, and ensure compliance with governance standards.
4. Exceptional communication, influencing, and stakeholder management skills.
5. Strong analytical and problem-solving capabilities, with a focus on continuous improvement.
6. Experience collaborating with change management teams and embedding frameworks into organizational practices.
7. Proficiency in project management software and tools (e.g., Microsoft Project).
