Responsible for the running of Toyotas sole Austrian depot to ensure to supply high quality Parts and Accessories at the right time, in the right quantity and in the right quality to the Austrian, Adrian, Romanian and Hungarian markets and towards our partner Suzuki and our customers of TMH.
Allow the Toyota dealer network to provide a seamless service to our customer. Support Toyota to increase market position and improve after sales revenue.
Minimum Requirements

Your Team And Your Responsibilities
The warehouse employs approximately 48 people (both Office and Warehouse) and stores some 42000 part numbers with an inventory value of €3M. The warehouse receives parts both from Toyotas central European warehouse (TPCE) in Belgium and also directly from supplier. It supplies parts overnight to more than 350 Toyota and Lexus dealers in Austria, Adria, Romania and Hungary, Same Day Service to Vienna retailers, and our partner Suzuki and more than 300 dealers and technicians of our customer TMH.
The role encompasses all aspects of the daily management of a stand-alone operation - Safety, Quality, Delivery, Cost and includes facility maintenance, legal compliance, finance, and HR. As TME’s representative in the location the role necessitates establishing and maintaining relationships with the national sales company, dealers, logistic partners, together with community, local authorities, unions and regulatory bodies.
In line with Toyota philosophy the depot manager (based in Vienna depot) is expected to lead continuous improvement of his operations utilising latest TPS thinking, benchmarking and yokoten of best practice. The position reports into the Head of Regional Depot Operations area 2 in TME (Brussels) and is also expected to contribute as part of a team with the 13 other depot managers to drive up Toyotas European depots total performance.
1. Accountability 1: Depot Health & Safety management
2. Create and foster safety interdependence culture #1: Standard safety briefing, contractor safety management, lead by example.
3. Create a zero risk work environment through proactive risk management, warehouse rack management.
4. Health & Safety Assessments: Daily safety patrols.
5. Safety reporting: Local & legal governance reporting, yokoten safety issues, accident & incident reporting.
6. Analyse safety issues, uncover root causes and define countermeasures to avoid re-occurring incidents/accidents.
7. Promote and implement best practises.
8. Accountability 2: Quality
9. Deliver ‘best in class’ quality to dealers.
10. Ensure high quality standards up to the dealers, including forwarder activities.
11. Define root-causes and implement countermeasures to improve quality through using 5 step approach.
12. Foster customer first environment.
13. Define quality KPI’s and priorities for kaizen.
14. Report & follow up quality results on daily, monthly, yearly base.
15. Accountability 3: Operations management
16. Deliver ‘best in class’ operations by using Toyota Way tools: LDC approach, standardisation, OJD, QCC.
17. Work out a mid-term business plan.
18. Define operational KPI’s, set challenging targets and assures that objectives are met.
19. Strategic planning of resources: yearly manpower & equipment planning.
20. Set up operational KPI’s (efficiency, equipment, material) & monitor daily workload planning & results.
21. Gemba management, warehouse process knowledge & management.
22. Create smooth operations through in & outbound flow control & planning.
23. Irregularity management.
24. Visualise process, Yamazumi, M&I flow, Standard Operation Procedures.
25. Short – Midterm Storage vision for depot.
26. Storage capacity monitoring & irregularity control.
27. Translate + communicate local storage issues with PS&LCM.
28. Depot management IT –system knowledge.
29. Translate overall Hoshin to local depot kaizen plan.
30. Monitor progress and action local depot kaizen plan in line with agreed timings.
31. Follow up & guidance of depot kaizen activities.
32. Accountability 4: HRD & People management
33. Local implementation, follow up and translation of TME HR-processes: BSR, Bonus, Career planning, disciplinary process, Development action plan & Improvement plans, Mid year review & IC&D.
34. Day to day management of total office and warehouse staff.
35. Set up & monitor local versatility/skill matrix & create development plan for all associates to reach multi-skill level.
36. Identify development needs for office and warehouse associates and secure their development.
37. Organise/facilitate training plan for office & warehouse in line with defined development needs, facilitate OJD.
38. Create, monitor and action yearly/monthly resource plan in line with business requirements.
39. Guide & support during job assessments.
40. Set up succession planning for office & warehouse associates.
41. Work regulations monitor and follow up.
42. Communication: Monthly team-briefing, daily briefing, presentation & HR process briefing.
43. Labour Union communication & link between TME & Local union.
44. Negotiation and CLA with local unions / works council. Understanding of legislations.
45. EMS planning and implementation of action points out of EMS working groups.
46. Accountability 5: Cost management
47. Lead and drive cost reduction activities in depot to contribute to TME profitability.
48. Create and control a yearly budget for G&A, COS and CAPEX in line with TME guidelines.
49. Daily/monthly follow up. Plan and implement cost reduction activities.
50. Mid term budget creation for G&A, CAPEX.
51. Initiate + follow up cost kaizen possibilities for the depot.
52. Equipment & fleet management.
53. Manpower & Headcount follow up.
54. Local supplier contact & follow up.
55. Accountability 6: Compliance
56. Ensure the validity of ISO14001 for the company and plan activities according to the 5 year TME environmental plan.
57. Internal audit of ISO14001 policies and countermeasure of any POA & deficiencies.
58. Comply with local legislation and Pan-European Toyota rules.
59. Hazardous material compliance, knowledge & follow up of TME hazmat guidelines at local depot.
60. SOX compliance: Monitor & safeguard SOX policies at Regional Depot.
61. Code of Conduct: Ensure TME/depot regulations are followed and implemented.

63. Site management: Cleaning, landscaping, catering.
64. Site security, access control, visitor & contractor control, site induction.
65. Building maintenance.
66. Emergency response management, evacuation procedures, organisation & coordination.
Your Profile
* University degree or equivalent.
* 5-10 year experience in logistics and/or shop floor management (preferably automotive).
* Experience in overseeing the daily performance and results in a shop floor environment.
* Experience in managing both shop floor and office staff.
* Budget planning and control.
* Good understanding of Supply Chain Management and implementation of Lean / 6-Sigma / T.P.S. principles in shop floor operations.
* Understanding of technical infrastructure of building and equipment.
* Excellent communication skills in both German (mother tongue level) and English (written as well as spoken).
* Sound IT knowledge (MS office: word, excel, power point, …).
