4Thought Psychology is a client-focused psychology practice in Bayside Melbourne. With a specialist team of Allied Health practitioners and a supportive admin team, we prioritize creating a welcoming and professional environment for clients and our special team alike. Our unique practice additionally hosts seminars, yoga, and other vital community services in our onsite studio, ‘Centre4Life’, which is nestled in a therapeutic garden with a trampoline, basketball hoop, veggie patch, and our furry therapy bunnies.
We look forward to welcoming an experienced Practice/Business Manager to lead our team and ensure the smooth and efficient operation of our growing practice.
Key Responsibilities:
1. Assessing and identifying new opportunities for growth in current and prospective markets.
2. Collaboratively working with the Director to establish the company’s goals and objectives.
3. Designing business strategies and plans to meet the company goals.
4. Ensuring all company activities adhere to legal, professional guidelines and policies.
5. Developing goals and objectives that tend to growth and prosperity.
6. Designing and implementing business plans and strategies to promote the attainment of goals.
7. Gathering, analyzing, and interpreting external and internal data and drafting reports.
8. Assessing overall company performance against objectives.
9. Maintaining relationships with partners/vendors/suppliers.
10. Representing the company at events, conferences, etc.
1. Operational Management:
1. Organizing and coordinating operations in ways that ensure maximum productivity.
2. Supervising the work of employees and providing feedback and counsel to improve efficiency and effectiveness.
3. Maintaining a Front of House and reception presence as part of the role.
4. Ensuring that the company has sufficient resources such as personnel, material, and equipment.
5. Overseeing daily operations to maintain a streamlined, efficient clinic environment.
6. Managing clinic schedules, appointments, and client records, ensuring compliance with legal and professional standards.
7. Supervising and supporting the administrative team, fostering a collaborative, innovative, and positive workplace culture.
8. Recruiting and training new employees.
9. Performing regular employee evaluations to determine areas of improvement.
2. Financial and Billing Management:
1. In collaboration with the Director, developing a comprehensive company budget and performing periodic budget analyses.
2. Monitoring and managing administration staff in relation to caseload reports, overseeing billing, invoicing processes, and payroll.
3. Ensuring smooth and accurate billing, tracking rejected or unpaid invoices.
3. Leadership and Strategy:
1. Utilizing strong leadership and communication skills to inspire and support your team.
2. Working closely with the Director to align operational goals with the practice’s vision and values.
3. Exhibiting strong organizational, problem-solving, and planning skills.
4. Maintaining a calm, compassionate, and friendly manner with a genuine interest in client and team wellbeing.
Essential Qualities and Experience:
1. Proven experience as an Allied Health or Medical Practice/Business Manager (or 2IC), ideally with qualifications in practice management and medical administration.
2. Ability to multitask and prioritize in a fast-paced environment while maintaining attention to detail.
3. Thorough understanding of diverse business processes and strategy development.
4. Working knowledge of the latest business policies and regulations within the Mental Health industry.
5. Demonstrable analytical thinking and business insight.
6. Excellent knowledge of MS Office, databases, information systems, and proficiency in practice management software (Power Diary experience advantageous).
7. Familiarity with Medicare, TAC, and other billing systems.
8. Good understanding of research methods and data analysis techniques.
9. BSc/BA in Business Management or relevant field; MSc/MA will be a plus.
10. At least 3 years' experience in a management position within the Mental Health industry.
