Part Time Position in Vienna, fully remote
The Company
TechWorld With Nana is an e-learning company providing education in Cloud and DevOps fields. The business has multiple educational programs and a growing tech community with 1.15 million subscribers on YouTube.
We work with various tech startups and large tech companies around the world, like Amazon, Microsoft etc. Our company is rather small, consisting of a founding team of 2 Co-CEOs and a few freelancers. The Role
The Executive Assistant will support the Founder and Managing Director, handling a wide range of administrative and business-related tasks. This person must be exceedingly well organized, flexible and love the administrative challenges of working in a high-paced environment.
This position is critical to the operations and culture of the organization, as they are often a liaison between the leadership team, employees, and partners. She/he/they must be an enthusiastic and proactive self-starter, with a sense of humour, who is able to work under pressure and is flexible and comfortable with change. Readiness and responsiveness as well as open communication is the key requirement for this position.
This Executive Assistant job will be very flexible in terms of location with flexible working hours. Must be readily available and accessible for queries and tasks when needed.
This is seen as a long-term role, with an opportunity to grow within the company and develop into a full-time position with more responsibility and career opportunities.
Responsibilities
* Support for the Founder and Managing Director
* Responsible for daily workflow, handling emails, manage CEO's calendar, and overall administrative support.
* Support the Management by preparing presentations, reports, and project materials.
* Perform data analyses and prepare KPIs
* Conduct research on various topics
* Manage company's social media pages (LinkedIn, Twitter, Facebook)
* Examine new business opportunities
* Compose text in English for different purposes (Marketing, Sales, Internal Communication)
* Communicate with suppliers, freelancers, accountant, B2B & B2C customers, team members, and media representatives
* Coordinate tasks between team members
* Fill CRM system (data entry, data examination, data research)
* Handle HR duties like candidate search, communication, contract check, vacation day tracking
* Evaluate priority of enquiries directed to Founder and Managing Director
* Support Founder with workload and changing priorities.
* Handle communication directed to the founder and replying to emails as well social media messages and comments
* Coordinate and handle travel arrangements
* Coordinate and handle public appearances, speaking engagements, interview requests etc of the Founder
* Optimize and handle Founder work schedule and prioritisation of activities
Team Support
* Handle communication with various partner companies, freelancers, legal and tax advisors etc
* Handle recruitment and onboarding of various positions in the organization
* Support in creating brand guideline and starter documentation as well as the onboarding processes of various roles
* Organize Team Meetings, take notes and capture them in online Notion page
Other Administrative Duties
* Proactively handle any routine matters
* Perform ad-hoc tasks as needed to ensure the efficient running of Operations.
Skillset, Experience and Qualifications
* 2-4 years experience in a similar role
* Strong communication skills both internal and external
* Excellent planning, organizing and prioritizing skills
* Ability to take decisions and use initiative
* Excellent IT skills and interest in tech topics
* Excellent Communication skills in English and German is a must
* Knowledge of online communication and organizational tools, Google, Notion, Asana, Discord, etc
* Hands-On mentality and solution-oriented approach to both complex and easy tasks
* Ability to prioritize tasks and work independently with minimal supervision
* Basic knowledge of bookkeeping or tracking expenses in Excel
* Strong interpersonal skills and the ability to work with the Management as well as with our cross-functional and international team
* Open personality with intrinsic self-motivation and strong willingness to learn

* We offer a market-compliant salary. The approximate annual salary for this position is minimum EUR 26.600,-- gross/year (at 25h/week). The effective salary will be determined based on your experience and qualifications.
