As a leader in the automotive industry, we are seeking a dedicated and experienced Head of Administration to join our team and lead our small yet efficient Admin/Stock Control Team. This is a hands-on role where you’ll have the opportunity to shape our operational processes and directly impact the success of our business.
Key Responsibilities:
* Lead and manage the day-to-day operations of the Administration and Stock Control team, ensuring efficient workflow and productivity.
* Oversee all banking functions, ensuring accurate and timely vehicle payouts, deposits, and reconciliations.
* Manage payroll, ensuring all staff payments are processed on time and in accordance with company policies.
* Handle vehicle deal processing, including invoicing, financing, and ensuring all legal and regulatory requirements are met.
* Coordinate with Vic Roads for vehicle registration, transfers, and acquisitions to ensure compliance with relevant regulations.
* Take charge of the financial management of inventory, including monitoring stock levels, cost analysis, and overall inventory budgeting.
* Analyze and manage the dealership's Profit & Loss (P&L) statements, providing regular updates and insights to senior management.
* Collaborate with cross-functional teams to ensure seamless communication and efficient operations across departments.
* Develop and implement efficient administrative processes to enhance overall business operations.
* Lead the preparation and submission of financial reports, ensuring compliance with financial regulations and internal policies.
* Maintain excellent relationships with external vendors, suppliers, and financial institutions to ensure smooth operations.
What We’re Looking For:
* Proven experience in automotive administration or a similar leadership role.
* Strong knowledge of banking, payroll, and vehicle deal processing.
* Demonstrated experience in managing P&L statements and inventory financial management.
* Previous experience with Vic Roads processes is highly desirable.
* Exceptional organizational and leadership skills with the ability to manage a small team effectively.
* High attention to detail and a commitment to delivering accurate and timely results.
* Ability to thrive in a fast-paced, dynamic environment while maintaining a hands-on approach to day-to-day operations.
* Proficiency in financial software, Microsoft Office Suite (Excel, Word, Outlook), and inventory management systems.
* Excellent communication skills and a customer-focused mindset.
