Okanagan Hockey Academy in St. Pölten, Austria is a premier ice hockey academy dedicated to fostering talent and providing an exceptional experience for both athletes and their families. We are currently seeking a dedicated and highly organized Assistant to GM & Operations Coordinator to support the GM in daily operations and ensure the smooth running of our academy’s activities.
Position Overview:
The Assistant to GM & Operations Coordinator plays a crucial role in overseeing day-to-day operations for the OHA and associated clubs. This position involves a diverse range of responsibilities including administrative duties, event planning, travel coordination, and general support for both the management and coaching teams. The ideal candidate will be proactive, detail-oriented, and have a passion for supporting athletes and families within the world of sports and education.
Key Responsibilities:
General Operations & Administration:
* Assist GM in managing day-to-day operations of the academy and clubs
* Serve as the primary contact for family members regarding player registration, transfers, and forms
* Handle administrative tasks including purchasing office and marketing materials and coordinating merchandise purchasing
* Organize and execute team functions
* Assist with travel arrangements
* Manage player registration
* Maintain internal communication channels
* Oversee home game operations
Event & Program Coordination:
* Plan, execute, and administrate tryouts, tournaments, games, and academy functions
* Coordinate logistics for hosting families, facility arrangements, and transportation assistance
* Coordinate weekend and spring camps, including camp management and logistics
* Oversee special events
* Assist with the purchase of items for special events, including awards and gowns for graduation
Qualifications:
* Strong organizational skills and attention to detail
* Previous experience in event coordination or operations is preferred
* Excellent communication and interpersonal skills
* Ability to multitask and work in a fast-paced environment
* Proficiency in Google Workspace, Microsoft Office and social media platforms (Facebook, etc.)
* Knowledge of ice hockey is a plus, but not required
* Ability to work flexible hours, including weekends and evenings, as needed
* Language Requirements: Fluent in both English and German (written and spoken)
* EU Citizenship / Work permit preferred
