The human immune system is the master regulator of health and disease in our bodies. Current tools used to discover drugs that target the immune system are wildly inadequate. To fix this critical gap, Parallel Bio created a human ‘immune system in a dish’ to rapidly accelerate the development of new drugs and immunotherapies more likely to work in patients. This means developing drugs that are known to safely work in humans before the first patient receives the first dose and an end to needlessly destroying millions of lab animals in the pursuit of human health.

Responsibilities:
We’re seeking a highly organized and resourceful Executive Assistant to support our Co-Founders as Parallel Bio expands its operations to Vienna, Austria. This role combines traditional executive assistance with personal support to ensure smooth operations both in and out of the office.
The ideal candidate will thrive in a fast-paced environment, demonstrating exceptional organizational skills, discretion, and the ability to anticipate and address needs proactively.
Be the Right Hand to Leadership: Manage complex calendars for both Co-Founders, prioritizing tasks and scheduling meetings efficiently to ensure smooth daily operations.
Enable Seamless Travel: Book and coordinate detailed national and international travel arrangements, including itineraries, accommodations, and expense reimbursements.
Organize with Precision: Prepare and organize meeting materials, ensuring timely follow-up on action items and that all necessary information is readily available.
Foster Collaboration and Communication: Coordinate with team members, stakeholders, and external partners to facilitate seamless communication and collaboration across all levels.
Oversee Office Operations: Manage office operations, including supply management and organization, to maintain an efficient and well-functioning workplace.
Provide Personal Support: Handle personal scheduling, appointments, and errands for the Co-Founders, managing confidential and sensitive matters with the utmost discretion and professionalism.
Job Requirements:

Professional Abilities:
* Minimum 5 years of experience as an Executive Assistant, preferably supporting C-level executives.
* Fluent in English and German, with strong written and verbal communication skills.
* Exceptional organizational and time-management abilities, with the capability to manage multiple priorities in a dynamic environment.
* High level of discretion, confidentiality, and professionalism when handling sensitive information.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and modern productivity tools (e.g., Google Workspace, Slack).
* Strong problem-solving skills and a proactive, solution-oriented mindset.
Personal Attributes:
* Previous experience supporting senior executives or company founders, with a strong understanding of European and international business etiquette.
* Demonstrated ability to handle sensitive information with confidentiality and maintain professionalism in all interactions.

Your compensation package will include a minimum base salary of €50.000 annually, based on a full-time engagement. The final amount will be determined based on experience and qualifications. This is a full-time position with no overtime compensation; the agreed salary covers all working hours. Flexible work arrangements may also be possible to support work-life balance.
