Sponsorship & Events Specialist- 12 month parental leave contract

About the role
This role supports the Head of Growth & Partnerships, taking responsibility for coordinating sponsor (advertising, event sponsorship and thought leadership) and strategic alliance agreements with our partners and internal stakeholders. This role ensures all contractual entitlements are delivered by the required deadline.
This role works closely with our partners and internal stakeholders to ensure a professional and quality customer experience is achieved and identifies areas where partnership agreements can be grown.
This is an exciting opportunity for an organised individual who is able to multi-task and has a passion for building relationships and partnerships. This is a 12-month, maximum term contract opportunity.
Key responsibilities:
* Oversee partnership contracts, ensuring all entitlements are accurately delivered within the agreed timeline.
* Prepare and review all partnership-related documentation, including sponsor kits and schedules, ensuring accuracy before distribution.
* Maintain and manage master schedules, including event kits, advertising timelines, and key entitlement tracking documents.
* Track sponsorship performance, providing reports and identifying areas for growth and ongoing improvement.
* Manage all aspects of sponsorship entitlements, including the exhibition components at events.
* Manage a number of sponsor events from end-to-end and work with the events team on the sponsor component at national events.
* Conduct research to identify new potential partners and grow partnership opportunities.
* Support sales efforts by maintaining and updating sales documentation, including media kits, processes, and templates.
* Ensure accurate financial records by reconciling partnership finances monthly with the finance team.
* Administer invoices and ensure timely payments are made ahead of entitlement delivery.
Skills and qualifications:
* Tertiary qualifications in Events/Marketing or equivalent is preferred.
* Demonstrated experience in events (preferred), stakeholder management and/or project management.
* Demonstrated experience with a Customer Relationship Management (CRM) tool and navigating multiple IT systems.
* Experience working in a not for profit or membership association preferred but not essential.
* Strong organizational skills with the ability to manage multiple projects simultaneously.
* Excellent communication and relationship-building abilities, with demonstrated experience working with a variety of stakeholders at all levels.
* Experience in contract management, financial administration, and event coordination.
* Proven ability to collaborate effectively with partners and internal teams to achieve shared goals.
