What you'll do:
We have an opportunity for a Workplace Experience and Facilities Coordinator to join the team at our support office in Docklands. The successful candidate will play a key role in ensuring the provision of a seamless and safe workplace experience for our team members and visitors at the support office. You will collaborate closely with various internal and external stakeholders to maintain a high standard of physical workspace, manage facility-related tasks, and support the overall workplace experience of our team.
You will be a highly organised person who thrives in a fast-paced corporate environment. You will also be passionate about creating a seamless experience by developing sustainable systems and processes, showing high attention to detail, all while managing facilities and ensuring our office runs smoothly.
Other key responsibilities include but are not limited to:
* Act as the primary liaison with building management / concierge / contractors.
* Act as the First Point of Contact for guests and new team members arriving at our support office.
* Manage office access security cards for new and current team members, contractors and visitors.
* Log and manage building maintenance requests and coordinate contractors for these requests.
* Provide exceptional support for team members and managers with workspace requirements, including proactive problem solving and continuous process improvement.
* Ensure office spaces are maintained to a high standard.
* Manage couriers, incoming/outgoing mail, and office supplies.
* Support onboarding of new employees, including office inductions.
* Support Safety, Health & Wellbeing (SH&W) by participating in emergency warden and first aid training and being part of the SH&W Committee.
* Handle ad hoc administration tasks as required.
What you'll bring:
* Excellent time management, organisation and attention to detail.
* Ability to work autonomously and use initiative to continuously improve processes.
* Ability to engage with and manage contractors and office / facilities projects.
* Demonstrated experience in Office Administration in a fast-paced corporate environment.
* Commitment to the delivery of excellent customer service for both internal and external stakeholders.
* Strong verbal and written communication skills.
* Intermediate proficiency in Microsoft Word, Excel and Outlook.
* Approachable and proactive in building relationships with a broad range of stakeholders.
