The Mission Abundance Foundation (MAF) is an Australian non-profit charitable organization dedicated to alleviating poverty and driving sustainable development in disadvantaged communities around the world. Our holistic approach focuses on raising the standards of education, healthcare, sanitation, nutrition, and overall community development.
We're hiring an Events Coordinator responsible for providing operational support and helping to ensure that the administration and logistics of all events run efficiently and smoothly. This includes coordinating with clients and internal teams to collect necessary financial data, preparing meeting space, supporting event managers at our large flagship events, and interacting with clients, suppliers, and other team members to deliver excellence and a seamless event experience for our clients.

6. Customer-Service Oriented - Focused on providing a high level of support to all our clients. This role has regular interactions with our best and most successful clients - you’ll play a pivotal role in their coaching experience and helping them feel welcome and prepared during their event attendance.
7. Detail-Oriented - Pays close attention to the accuracy of financial documents and meeting materials, ensuring all items are in order ahead of time.
8. Events & Meetings - Previous experience with logistics planning, room setup, catering, and creating a conducive environment for clients and event attendees.
9. Flexible & Adaptable - Comfortable handling last-minute changes and working in a fast-paced environment where priorities may shift quickly.
10. Calm Under Pressure - Maintains composure during stressful situations, ensuring that Board meetings run smoothly even in the face of unexpected challenges.

YOUR RESPONSIBILITIES:
Event Coordination
* Coordination of events: Assist with the logistics of organizing and executing events. This can include managing event timelines, overseeing bump ins & bump outs, and troubleshooting problems.
* Vendor & Supplier Liaison: Communicate with and manage relationships with vendors, such as caterers, florists, AV technicians, and photographers, ensuring their services align with the event requirements.
* Administrative Tasks: Handle event documentation, such as contracts, event registration, and scheduling. Ensure all information is accurately recorded and updated.
Board Meeting Support & Coordination
* Logistical Planning & Setup: Ensure all logistical aspects of Board meetings are organized in advance. This includes securing meeting rooms, setting up required technology (e.g., audio-visual equipment, video conferencing), ensuring proper seating arrangements.
* Meeting Facilitation Support: During the meeting, provide support, assist with any last-minute adjustments, and ensure that all members have the materials they need.
* Preparation of Financial Documents: Coordinate the printing, packaging, and distribution of financial documents for Board meetings, ensuring they are clear, professional, and formatted to the expectations of the Board.
REQUIREMENTS:
•Experience: Event and Meeting Coordination Experience - Ideally in a B2B or Corporate Environment
•Skills: Exceptional organisational skills, professional appearance, strong verbal and written communication, proficiency in Google Suite and Microsoft Office and other relevant software
•Personal Attributes: Highly organised & detail-oriented, ability to multitask, proactive problem-solver, flexible & adaptable, friendly and welcoming personality, capable of working under pressure.
