The award winning, multi-venue Gambaro Group, is seeking a Senior Event Coordinator to grow our team across our five landmark Brisbane and Gold Coast venues. Under the supervision of the Group Food and Beverage Manager, the successful candidate will be responsible for the following:
Key Responsibilities include but are not limited to:
* Responding to all Function and Event Sales enquiries in a timely manner
* Following up on sales leads promptly and passionately
* Liaising with clients over the phone, email and in person
* Creating and sending out tailored proposals and quotes within set turnaround times
* Negotiating contract terms, conditions, pricing and payment with clients
* Collaborating with our operations team to ensure venues are prepared to receive clients attending site inspections, making food or drink arrangements as required
* Clearly communicating with our operations team in weekly meetings to ensure upcoming events are finalised in advance and executed seamlessly
* Coordinating and executing corporate and private functions, weddings, external expos and venue famils
* Managing function software platforms including Function Tracker and Open Table
* Answering phones to assist the restaurants with general reservations and enquiries
* Sourcing new sales leads and business opportunities
* Strong communication and interpersonal skills with the ability to build rapport with clients and internal departments
* Friendly and positive demeanour
* Must have open communication, be able to give clear direction and delegate effectively
* Willingness to go above and beyond to ensure customer satisfaction
* Excellent personal presentation
* Ability to assess customer needs and to communicate with people from all walks of life
* Minimum of 2 years previous experience in a similar role
* Multi-venue experience is essential
* Management of the function booking system, reporting and responding to enquiries/leads within set turnaround times
* In conjunction with the operations team, source and manage ongoing partnerships with preferred suppliers for the Group, ensuring productive, ongoing relationships that benefit our business and meet set KPI's
* Tailoring proposals to client needs, including internal liaison with the kitchens (menu design or tastings), operations team (internal turnaround times/sets) and external liaison with preferred suppliers
* Demonstrated ability to manage multiple tasks and meet deadlines
* The capacity to deal with a wide range of people, systems and processes concurrently
* Exceptional time and organisational skills.
* Proficient in Microsoft office (Microsoft Word, Excel and PowerPoint)
