Overall Responsibilities:
* Overall responsibility for the Group Communication team’s administration requirements
* Own internal incentive store for branded items and giveaways including invoicing, reorder of existing and creation of new products, budgeting, managing related suppliers and liaising with users across the company to ensure a streamlined approach
* Team invoicing and budget overview, including daily invoices, team credit card statements, recharging, sharing monthly updates from accounting and coordinating the quarterly budget outlook process with the team
* Schedule and manage logistics for team meetings and training sessions
* Schedule and organise quarterly and annual Group Communication hosted meetings and alignments for the wider Communication & Marketing network
* Support the team on various communication projects and initiatives, from internal campaigns to cross-functional events
* Other administrative tasks including managing inboxes owned by Group Communication; helping to onboard new team members; and serving as the Group Communication representative for data protection, compliance and contract topics
Your Profile:
* 5-7 years of relevant experience in administrative support or as a team or administrative assistant office manager, experience supporting communication and marketing teams is an advantage but not essential
* Strong organisational skills and the ability to prioritise tasks, work on multiple projects simultaneously and with a keen eye for detail.
* Proactive team player who can also work independently.
* Background or experience with basic accounting topics and affinity to numbers
* Proficiency in Microsoft Office programmes (mainly Outlook, PowerPoint, Excel and Teams)
* Excellent English and German – oral and written

* We offer a compensation package starting at € 45.000 gross/year on a full-time basis (38 hours/week), with the opportunity of overpayment depending on your experience, skills, and qualification.
