Organizational Setting
The Department of Nuclear Safety and Security (NS) formulates and implements the IAEA's nuclear safety and security programme, which encompasses the IAEA's activities to protect people and the environment from radiation exposure, and responds to the needs of its Member States related to nuclear safety and nuclear security.
The Division of Radiation, Transport and Waste Safety develops and maintains standards for radiation protection, radioactive waste safety, and safety in the transport of radioactive material. It assists Member States in implementing these standards and provides related services. The Regulatory Infrastructure and Transport Safety Section (RIT) is responsible for providing Member States with safety standards, guidance, and tools to foster regulatory infrastructure for radiation safety.
The Control of Radiation Sources Unit is responsible for the development of standards for regulatory infrastructure for radiation safety and for providing the application of these standards in Member States. It organizes Integrated Regulatory Review Service (IRRS) and Advisory Missions related to regulatory infrastructure in the various fields of radiation safety.
Main Purpose
Reporting to a Section/Unit Head/Supervisor, the Team Assistant contributes to the efficient operation of the office by providing assistance and advice on administrative practices and procedures.
Functions / Key Results Expected
1. Correspondence and Records Management: Draft standard correspondence according to corporate communication guidelines. Format letters, reports, technical documents, and other materials according to standard operating procedures. Search office files and records to select information for use by supervisors.
2. Meetings and Logistics: Make arrangements for internal/external meetings, seminars, and other events. Take and prepare minutes of internal meetings. Make travel arrangements and prepare travel authorizations/claims.
3. Administrative Activities: Input, retrieve, and assemble information into/from databases. Update and maintain information databases on the status and completion of work plans.
Required Expertise
1. Administrative Support: Ability to draft routine correspondence and correct documents in accordance with established standards.
2. Administrative Support: Ability to provide training and guidance to newly recruited office support staff.
3. MS Office Proficiency: Proficiency in MS Office and the ability to use databases.
4. Meetings Organization: Experience in coordinating complex, multi-participant meetings.
Qualifications, Experience, and Language Skills
* Completed secondary education.
* Minimum of four years of general office support experience, some in an international environment.
* Excellent oral and written command of English; knowledge of other official IAEA languages is an asset.
* Administrative skills test to IAEA standard may be part of the process.
Remuneration
The IAEA offers an attractive remuneration package including a tax-free annual net base salary starting at EUR 48527, 6 weeks' annual vacation, pension plan, and health insurance.
