This role is responsible for handling administrative tasks, managing schedules, coordinating communications, and ensuring smooth office operations. The ideal candidate will be highly organized, proactive, and possess strong interpersonal and communication skills, with the ability to manage multiple tasks efficiently.
Key responsibilities:
* Provide high-level administrative support to the management and company teams.
* Support different projects with administrative and organizational support, cooperating with all departments within the company.
* Conduct research and compile reports, presentations, or summaries on request.
* Oversee day-to-day office operations, ensuring a well-organized and efficient work environment. Manage office supplies.
* Coordinate office maintenance, repairs, and cleanliness with respective colleagues.
* Manage office-related budgets, track expenses, and handle invoices. Assist with basic accounting tasks, including processing reimbursements and petty cash.
* Plan and execute company events, meetings, and team-building activities, ensuring all logistical details are handled.
* Collaborate with HR in onboarding new employees, maintaining office policies. Help with other administrative HR duties.
Qualifications
* Bachelor’s degree in business administration, communications, or a related field preferred.
* At least 2 years of experience in executive support, office management, or a similar role.
* Experience supporting C-suite executives is highly desirable.
* Strong organizational and multitasking skills.
* Excellent written and verbal communication in English and in German.
* Proficiency with office software (Microsoft Office Suite).
* High attention to detail and problem-solving skills.
* Strong interpersonal skills and ability to work with all levels of staff.
* Knowledge of office management systems and procedures.
* Ability to anticipate needs and ensure the office is functioning optimally.
* Manages priorities and deadlines effectively under pressure.
* Thrives in a fast-paced environment, can manage shifting priorities with flexibility.
* Maintains a positive, professional demeanor and provides exceptional internal and external customer service.
