ABOUT THE ROLE:
You will be responsible for overseeing the facilities maintenance, asset maintenance and leasing support for the Tony White Group (TWG) properties. This role is critical for operational management strategies for both CAPEX & OPEX funding across all TWG properties. You will build strong tenant and contractor relationships and have pride in being responsible for the compliance, look and efficiency of the assets and their efficiency for the tenants.
KEY RESPONSIBILITIES:
1. Implement, procure and manage a preventive maintenance program across all properties. Ensure routine inspections, repairs, and replacement of key equipment, building systems (HVAC, fire, plumbing, electrical), and other facilities infrastructure to minimise downtime and extend the lifespan of assets.
2. Create and maintain an asset register and model CAPEX & OPEX funding toward operational and project initiatives.
3. Ensure the planning and implementation of cost-effective and quality facility services at all properties including cleaning, security, waste removal, car parking, utilities management and signage.
4. Preparation of all necessary documentation required to tender for the provision of facilities management services for all properties.
5. Develop, monitor, and manage the facilities budget for the group, ensuring cost-effective solutions for maintenance, repairs, and upgrades.
6. Assist the team with project activities, ensuring those projects are completed to the Group’s satisfaction and meet quality, time and profit objectives.
7. Assist in project tendering including, preparation, review and negotiation with contractors.
8. Support the team to deliver development projects across multiple regions to ensure buildings are delivered on schedule, to a high design standard and within budget.
9. Assist with the necessary consultation with internal and external stakeholders, authorities and other third parties to ensure the proposed development are viable for the business needs.
10. Manage leasing agents and conduct lease negotiations, and support the execution lease agreements and other legal documents.
11. Develop and manage lease register, identify expiring leases and work with internal stakeholders to support the strategy to protect TWG portfolio.
12. Capture and manage lease obligations to reduce and eliminate financial risk.
SKILLS & EXPERIENCE:
1. Bachelor degree in Facilities Management, Business Administration, Engineering or a related field.
2. 5-7 years’ experience in a facilities management, property management or relevant position.
3. Demonstrated experience in the asset management, supervision of building works, contractor management (including remote monitoring), and contract preparation/administration.
4. Well-versed in technical/engineering operations and facilities management best practices.
5. Strong budgeting and financial management skills, including forecasting, cost control and expense management.
6. In depth understanding of health, safety and environmental requirements, especially in the context of multi-site operations.
7. Excellent communication skills, with the ability to interact effectively with senior management, dealership staff, vendors and contractors.
8. Ability to handle multiple locations and tasks, ensuring all facilities are appropriately managed and prioritised.
9. Strong procurement and negotiation skills.
10. Excellent problem-solving and time management skills, with the ability to manage multiple competing priorities and make informed decisions quickly.
