Randstad are currently assisting a QLD Gov Dept who are seeking an experienced record manager/document controller to join their team on an exciting project.
The Handover Support Specialist will play a crucial role in undertaking handover activities associated with practical completion of the Rail, Integration and Systems (RIS) Project. This short-term temporary role is responsible for ensuring the accuracy and completeness of handback records in accordance with the Handback Index Separable Portion Documentation Evidence Requirements stipulated in the Alliance Handback Management Plan.
This position will work within the Information Management and Governance stream and collaborate with the Lead Business and Information Analyst, Document Control, Handover and Data and Reporting Teams at the Delivery Authority and the UNITY Alliance.
You will be an experienced records manager, document controller or have extensive experience in complex infrastructure projects and understand the documentation and terminology used in large construction projects. You will ideally possess experience in electronic document and records management systems including Content Manager (TRIM) or TeamBinder. Your attention to detail and analytical skills will be second to none, with the ability to communicate and influence different stakeholder groups through exceptional interpersonal skills.
Due to the hands-on nature of reviewing, auditing and undertaking gap analysis on physical As-Built documentation, there is a requirement for this role to be predominantly (if not entirely) on site in the corporate office.
Key Responsibilities:
* Auditing and preparing a gap analysis on handback requirements documented in the Handback Index Separable Portion Documentation Evidence in the RIS Alliance Handback Management Plan against document registers captured in TeamBinder for the Delivery Authority and UNITY Alliance.
* Auditing and verifying physical As Built documentation received from the UNITY Alliance to ensure accuracy and completeness in accordance with the requirements stipulated in the RIS Alliance Handback Management Plan. This includes As Built Drawings, As Constructed Survey, BIM / Other Models, Part 28, 29 and 30 PIC Certificates, As Built Design Package Reports and any other documentation specifically linked to the development of the As Built Documentation.
* Participating in any necessary handback meetings with stakeholders and preparing updates and/or reports on any risks, issues or discrepancies identified.
* Conducting the handback records transfer process to ensure a successful progressive and timely handback.
* Ensuring asset management information is distributed as per the distribution matrix and in line with contractual requirements.
* Working in accordance with the Delivery Authority's policies, procedures and safety requirements and demonstrate alignment with our values and behaviours.
Key Competencies:
* Minimum of 5-10 years' experience in records management, document control or complex infrastructure project delivery or handover.
* Demonstrated experience in reviewing, appraising, verifying and documenting hard copy and digital records against multiple large and complex document registers.
* Strong working knowledge of Open Text Content Manager and/or In Eight TeamBinder and the Microsoft Office suite including strong excel skills.
* Attention to detail - Ability to remain focussed and meticulously verify documents and conduct gap analysis of records against existing registers.
* Communication skills - Proficiency in documenting and communicating handover requirements, discrepancies and gaps to stakeholders.
* Problem solving and analytical skills - Ability to conduct a detailed gap analysis, identify issues and propose solutions to comply with contractual requirements to support the integrity of the document control process and enable a successful practical completion handover.
* Familiarity with infrastructure documentation and terminology would be highly beneficial, particularly in large and complex projects.
