THE ROLE
We are seeking an energetic and enthusiastic self-starter, someone who can work both autonomously and within a team environment. It's imperative the candidate is the right fit for our culture. The Maintenance Coordinator reports to the Building Manager and is part of the Maintenance team.
The key focus of this role is managing the inbox to schedule and coordinate 3-month maintenance checks for clients post-handover whilst supporting the wider maintenance team. More specifically, you will:
1. Monitor and maintain the Maintenance inbox
2. Liaise with clients and allocate tasks to Maintenance team and Suppliers/Trades for inspections, maintenance service dates and general maintenance requirements
3. Manage calendars and processing of paperwork for maintenance items
4. Produce service requests, purchase orders, and inspection reports relating to the scope of work
5. Complete follow-up calls and emails with customers to ensure completed work satisfaction and provide the customer with their updated inspection report
6. Follow up on outstanding orders and service requests, this will require outbound calls to our service providers
7. Manage and liaise with clients (and neighbours) for fencing notices
8. Quarterly Australian Bureau of Statistics reporting
9. Assist with general administrative duties, including but not limited to scanning, filing, and typing
THE CANDIDATE
First and foremost, we are looking for someone with a "can do" attitude who is aligned to our core values and is looking for a company to reignite their career. A motivated team player would also need key attributes as:
1. Minimum of 2 years in residential construction preferably in a maintenance coordinator role
2. Experience in administration, including scheduling/coordinating
3. Previous experience in a customer support role and exceptional workflow management
4. An ability to show empathy, communicate with clients and various teams to provide information and updates on maintenance works
5. Knowledge of property maintenance, building & construction processes is preferable but not essential
6. Outstanding prioritisation, organisational, and planning abilities with the ability to work under pressure
7. Ability to delegate and manage maintenance programs autonomously
8. Highly motivated individual with a positive outlook and willingness to find solutions to achieve desirable outcomes
