Enterprise Software Solutions is a key part of Hitachi Energy’s business, delivering leading-edge software in asset-performance management, enterprise asset management, and workforce management. “Assets” are physical items making up an organization's infrastructure and operation – anything from sensors and precision monitoring equipment to large-scale transformers, as well as the people who manage them.
We are looking to grow our Proposals team with the addition of an experienced Proposals Specialist to service an anticipated increase in tender opportunities for our asset-management solutions. The role is organizationally based in ESS’s offices in Austria and the ability to work from this office on a remote/office hybrid basis is preferred; however, subject to agreement, the role could potentially be undertaken remotely from almost any location in a compatible time zone.
The Role
Reporting to the Proposals Manager – Europe, you will join an existing dynamic and enthusiastic team, and play a vital role in helping to win new business and retain existing customers. You will be working closely with Sales Account Managers and other key bid stakeholders to support the entire tendering process – from tender receipt to the timely delivery of high-quality, compliant and commercially sound bids in the European business hub.
This is an intensive and fast-paced role, requiring someone who is used to multi-tasking, can quickly and effectively analyze tender documents in order to brief relevant stakeholders, and is able to work entirely on their own initiative.
What You Will Be Doing
The ideal candidate will be comfortable with:
1. Evaluating tender documentation on their own initiative to identify quickly and accurately all key requirements, deliverables, deadlines and actions, and be prepared to provide feedback on the overall bid requirements and potential risks (legal, commercial, etc.) to all relevant stakeholders while adhering to strict deadlines.
2. Ensuring all key stakeholders have appropriate access to bid documents.
3. Organizing and running calls (e.g. tender kick-off and status calls) with different stakeholders (including senior management), and logging/assigning and chasing resulting actions.
4. Coordinating, collating, checking and editing bid input from a variety of stakeholders – including sales, finance, legal, product management, solutions and customer support.
5. Coordinating proposal responses – both in terms of presentation and content – ensuring all necessary product, services and pricing information is included in the final offer to the customer, while ensuring adherence to established processes, following branding guidelines, and ensuring on-time submission.
6. Using online procurement portals to respond to queries and submit tender responses.
7. Monitoring and mitigating risk throughout the bid process using established risk management tools.
8. Supporting the Proposals Manager and Proposals Specialist in complex bids.
9. Helping to update and maintain our tender content-management system.
Who Are You?
You will be a self-starter and likely have:
10. At least two years’ experience in a similar role, ideally with experience of working on software-related tenders. A good understanding of the general proposal/project lifecycle process is a given, and experience in other related fields such as project management or contracts will be a definite advantage.
11. Previous proven remote-working experience while independently managing different virtual teams.
12. Impeccable written German and English skills, including the ability to review / edit technical content prepared by subject-matter experts in a concise manner and to a high standard – without relying on grammar/spell-check facilities.
13. Strong communication skills to influence and challenge bid team members (and even senior personnel where necessary), and facilitate and negotiate with multiple, geographically dispersed, internal stakeholders.
14. High proficiency in tools such as Word, Excel, PowerPoint, OneNote, SharePoint, Teams, etc.
15. Strong process, organization and coordination skills, with the ability to multi-task on several different bids as required and a clear understanding of the importance of working to set deadlines whilst adhering to the company’s rules and procedures.
16. An easy-going yet professional manner – calm under pressure, and with a well-developed awareness of working effectively in a virtual team.
17. Ideally a Bachelor’s Degree.
18. Flexibility, and a full understanding of the global nature of our business: as part of a worldwide and diverse team, availability for communications in any time zone may be necessary.
19. Proficiency in a major European language would be a definite asset.

For this position, a minimum basic salary according to CBA (employees in the electrical industry) from 3811,93 € gross per month applies. Depending on your qualifications and experience, there is readiness for CBA overpayment.
