We do almost everything in house which gives us a rare sense of unity of purpose in our vision to make better products and experiences for our customers. Our 60+ person team is very passionate, and includes Product Development, Story and Marketing, Supply Chain, Customer Experience and Technology.
We are growing rapidly with significant expansion plans taking place over the next two years – making it a very exciting time for a new Office Experience Manager to join the team and be part of this journey.
What’s the role all about?
We’re on the lookout for a highly organised and proactive Office Experience Manager to oversee day-to-day operations and help keep things running smoothly behind the scenes. This role is all about creating a workplace that not only works well but feels great - supporting our team’s productivity and bringing our culture to life in everything we do.
You’ll be the go-to person for all things office-related - coordinating across teams, handling admin with ease, supporting logistics, and making sure everyone has what they need to do their best work. From keeping supplies stocked and onboarding new team members, to overseeing maintenance and coordinating events that bring people together, you’ll be at the heart of it all.
You’ll also be the main point of contact when it comes to office security and access, ensuring that our workspace remains safe, secure, and smoothly run at all times. There are times when you may be required to work outside of regular business hours.
You’re someone who thrives in a fast-paced environment, takes initiative, and enjoys solving problems before they become problems. You’re flexible and adaptable in an ever-changing environment, where priorities shift, challenges pop up, and no two days are quite the same. You’ll be key to helping our internal operations tick along like a well-oiled machine, while also helping us continue a workplace that’s warm, welcoming, and full of energy.
As a cultural ambassador for Sleeping Duck, you’ll play a big part in organising company events, social get-togethers, volunteer days, and other initiatives that support our team and culture. Your main focus areas will be:
* Office Operations
o Be the first point of contact for all visitors and enquiries to the office.
o Create a positive experience for our employees, being a point person for office facilities management and creating a desirable experience that enables our people to be productive and connected.
o Answer and forward calls, sort and distribute mail, arrange couriers and shipments, book meetings as required.
o Take ownership of shared spaces in the office, ensuring the team maintains the workplace pride.
o Schedule maintenance and respond to maintenance issues.
o Coordinate with all internal and external partners to keep all areas of the office in tip top condition and ensure everything works as it should.
o Manage and purchase the supplies required to keep our team and SDHQ equipped with the necessary tools and supplies across our two floor office and showroom.
o Responsible for general security, including office key management, and visitor tracking etc. You are the main point of contact for our security company.
o Continuously look for ways to improve the overall Sleeping Duck office experience.
o Providing onboarding support and detailed office facility tours for all new starters.
o Booking airline tickets and accommodation for team members who may be traveling interstate or overseas.
* Cultural Activities & Internal Events
o Be a key person in organising/facilitating internal company events ensuring collaboration and inclusion across the business.
o Identify, drive, and encourage others to lead initiatives that give our team the opportunity to come together, socialise and have fun.
o Facilitate celebrations and significant milestones for people in the office such as birthdays and work anniversaries (for example helping decorate someone’s desk for their anniversary or ordering gifts).
People who we’d love to work with
* Someone with a warm and positive energy who has a keen interest in the people space.
* Proven experience as an Office Manager, Front Office Manager, or Administrative Assistant.
* Experience in Event Coordination (preferred).
* Strong administrative, attention to detail, analytical and organisational skills.
* Ability to take ownership of the role, and juggle multiple competing priorities.
* Confidence to liaise with a wide range of people and a clear communicator.
* A tech-savvy person.
* Ability to adapt and problem solve in a fast moving environment.
* Enthusiastic and passionate - we love what we do and we want a team player who loves what they do.
