Organizational Setting
The Department of Nuclear Safety and Security (NS) formulates and implements the IAEA's nuclear safety and security programme, which encompasses the Agency's activities to protect people and the environment from radiation exposure, and responds to the safety and security related needs of its Member States.
The objective of the Division of Nuclear Installation Safety (NSNI) is to achieve and maintain a high level of safety of nuclear installations worldwide that are under design or construction or in operation. The Division does this by establishing standards of safety for the protection of health, including standards for nuclear power plants and other nuclear installations and facilities.
The main objective of the Regulatory Activities Section (RAS) is to help enhance effective regulatory infrastructures for nuclear safety in Member States based on IAEA safety standards and the use of self-assessment.
Main Purpose
Reporting to a Section/Unit Head/Supervisor and providing support to a group of Professionals, the Team Assistant contributes to the efficient operation of the office by providing assistance and advice on administrative practices and procedures.
Functions / Key Results Expected
1. Correspondence and Records Management: Draft standard correspondence according to corporate communication guidelines. Format letters, reports, technical documents, manuscripts, newsletters and other material in accordance with standard operating procedures. Maintain file lists and liaise with ARMS staff on records management issues.
2. Meetings and Logistics: Make arrangements for internal/external meetings, seminars and other events. Prepare travel authorizations/claims for the supervisor(s) and/or participants.
3. Administrative Activities: Input, retrieve and assemble information into/from databases. Update and maintain information databases.
4. Planning and Organizing: Plans and organizes his/her own work in support of achieving the team or Section’s priorities.
5. Communication: Communicates orally and in writing in a clear, concise and impartial manner.
6. Achieving Results: Takes initiative in defining realistic outputs and clarifying roles and responsibilities.
7. Teamwork: Actively contributes to achieving team results.
Required Expertise
1. Administrative Support: Ability to draft routine correspondence and correct documents.
2. Guidance and Training: Ability to provide training and guidance to newly recruited office support staff.
3. MS Office Proficiency: Proficiency in MS Office and the ability to use databases.
Qualifications, Experience and Language Skills
High School Diploma - Completed secondary education. Minimum of four years of general office support experience, some of which in an international environment. Excellent oral and written command of English. Knowledge of other official IAEA languages (Arabic, Chinese, French, Russian and Spanish) is an asset.
Remuneration
The IAEA offers an attractive remuneration package including a tax-free annual net base salary starting at EUR 48527, 6 weeks' annual vacation, pension plan and health insurance.
