Key Responsibilities of the Role:
1. Gathering information for implementing the new project.
2. Documenting the project details.
3. Working on Digital platforms such as BIM 360, ACC, Procore, CX Alloy and Asite.
4. Management of document control software system ensuring that all parties receive adequate training and then use the system.
5. Ensuring the timely distribution of documents & drawings to project personnel.
6. Working in accordance with company procedures & guidelines.
7. Distribution of drawing transmittals, Reviews, RFI’s and submittals to client, designers and subcontractors.
8. Submission of documents and creating transmittals.
9. Receiving and conducting a full quality check of all drawings and documents transmitted by the lead consultants.
10. Implementing and checking the naming convention on the project as per the company and project requirements.
11. Tracking the pending documents through weekly progress reports.
12. Notifying the involved parties to take appropriate action on the pending documents.
13. Exporting files in the required format.
14. Managing and tracking the time management system, reporting regularly.
15. Returning quarantined documents to the issuer for full correction and re-issue.
16. Maintenance of controlled document registers and associated documentation.
17. Updating the master document register (MIDP) on a daily basis.
18. BIM360 (or any other platform used on the project) Administration: adding members licenses, adding new companies.
19. Implementing, uploading, and managing the O&M file on the project and transferring all the information to the client platform as per the project requirements.
20. Full control of Mercury platform and the client platform.
21. Assistance with day-to-day activities, including administration duties, helping develop SOP’s, training, Document creation etc.
22. Producing different reports for PM, Client, BI.
23. Data entry on SAP, running SAP reports and queries.
24. Maintaining up-to-date Org Charts.
25. Taking meeting minutes where required for PM.
26. Liaising with Scheduler, Safety Manager, Client, project team, etc.
27. Developing and maintaining filing systems.
28. General Administration including typing and printing.
29. Covering for the Time Administration of the Project when required.
30. All other duties associated with this role.
Essential Criteria for the Role:
1. Strong Administration experience.
2. Fluent in English language.
3. PC literate with competency in Microsoft Word, Excel, Outlook.
4. Ability to liaise and manage all site paperwork.
5. Excellent telephone manner.
6. Attention to detail.
7. Ability to multitask and work under pressure.
8. Strong interpersonal and organisational skills.
9. Pride in the quality and presentation of work.
10. Excellent communication skills.
Desirable Criteria:
1. Experience in the construction or engineering industry is an advantage but not essential.
2. Experience using document management system BIM360 / ACC.
3. SAP experience is an advantage but not essential as full training will be given.
4. Country language is advantageous.
