Overview
Under the direction of the Senior Deputy Director Real Estate and in coordination with the Planning Finance Division, the Commercial Leasing Manager will be responsible for the maintenance of the Planning Department lease database (“YARDI Voyager”) and the regular updating of the system as needed to reflect all salient fiscal and operational data for all lease/licenses in the BPDA/City of Boston Planning Department real estate portfolio.
The Real Estate Division within the Planning Department manages a portfolio of over 13 million square feet of land across Boston neighborhoods. The properties include the Charlestown Navy Yard, Long Wharf, and the Raymond L. Flynn Marine Park, as well as significant neighborhood-based redevelopments. In addition to the maintenance and quality assurance of the database, the Commercial Leasing Manager will perform a key role in other regular day-to-day lease/license administration matters (Fiscal Accountability). The Commercial Leasing Manager will also be performing select special projects for the Leasing team.
Responsibilities
FISCAL ACCOUNTING RESPONSIBILITIES
* Collect, inventory, abstract, and upload into the database all pertinent real estate contract information and documentation.
* Serve as YARDI technical administrator, assist with system upgrades, and support staff as needed.
* Maintain the database to record and manage all critical activity in the real estate lease portfolio, including term commencement/expiration dates, fixed/additional rent commencement/end dates, option notice/exercise dates, and other contractual date or milestone activities.
* Assist the Finance team with GASB 87 audit activities as needed.
* Use the database for the purpose of forecasting BPDA real estate contract revenue and support internal accounts receivable staff to maintain timely and accurate tenant billing.
* Assist in the collection of rents, operating expenses reimbursements, real estate tax/payment in lieu of tax receivables, late fees, and other receivables.
* Service the real estate portfolio to ensure compliance with respect to tenant reporting requirements (i.e., insurance certificates, financial statements, occupancy and use certificates, etc.) and solicit outstanding items as needed.
* Provide regular support to the Finance and Real Estate Leasing departments and perform other duties as assigned.
LEASING RESPONSIBILITIES
* Manage all Lease documentation, including but not limited to Lease Abstracts, renewals, milestones, and extensions.
* Assist in financial analysis (including debt amortization and discount cash-flow analysis) to properly value alternatives.
* Manage license requests and documentation for periods less than 30 days.
* Coordinate and monitor Lease renewals and terminations to assist Leasing Managers.
* Stay up to date on current market trends and opining supervisors on competitive lease rates.
* Perform market analysis to properly set lease rates for Planning Department commercial real estate.
* Manage assigned Planning Department-owned sites for community activation or short-term Licenses, including negotiating rates.
* Assist supervisor in complex, multi-layered lease negotiations, including but not limited to preparation and sensitivity analysis of discounted cash flow and other financial models.
* Special Projects include but are not limited to 1) updating daily use rates for the temporary use of Planning Department-owned real estate, 2) retroactively tracking and reporting on market value for the use of property wherein no fee is charged, 3) special economic development projects as assigned.
* Create tools and graphics to help illustrate leasing and licensing activities across the portfolio, specifically within 12 Channel Street and the China Trade Center.
* Draft internal and external real estate-related “Policies” as needed.
* Other time-sensitive projects as they arise.
Minimum Entrance Qualifications
* Bachelor’s degree in business administration, public administration, real estate, or similar field.
* Three (3) – five (5) years of relevant experience in Lease Administration, Commercial Real Estate Leasing, Property Management, or Lease negotiation.
* Ability to effectively process large volumes of information while maintaining a high level of attention to detail, exhibit a high level of professional interpersonal and service skills to both internal and external parties, and continually add value by identifying and addressing data gaps and business process improvement opportunities.
* The candidate must be able to work under pressure, deal with multiple deadlines, effectively handle stressful situations and work with minimal direction/supervision.
* Proficiency with Microsoft Products, Excel, and Google Suite is required. Experience with YARDI Voyager is a plus.
* Preference will be given to candidates who possess or are immediately willing to obtain a Real Estate Sales or Brokers license from the Commonwealth of Massachusetts.
