We are a reputable established commercial plumbing business since 2009 located on the Gold Coast, and we’re looking for a dedicated and detail-oriented individual to join our team.

We specialize in providing high-quality commercial plumbing services across the Gold Coast and surrounding areas. Our team is committed to excellence, reliability, and customer satisfaction. We are seeking an Accounts/Operations Manager to oversee day-to-day financial management of our business. Working closely with the Commercial Service Manager and Construction Manager to maintain accounting and operational procedures.
Key Responsibilities:
Accounts Management:
* Prepare and submit monthly Progress claims including compliance documents for all projects via PAYAPPS
* Identify and file invoices for Variation processing
* Data input and job costing for multiple entities ensuring payable invoices match purchase orders raised for each project
* Manage accounts payable and receivable processes, ensuring timely invoicing and payment processing for multiple entities
* Monitor procurement pricing to ensure correct charging by suppliers and following up on credits due to incorrect charging
* Prepare financial reports, budgets, and forecasts to support decision-making
* Monitor cash flow, ensuring all financial obligations are met
* Reconcile bank statements and accounts incorporating intercompany loans monthly for 5 entities
* Calculate and process intercompany charges and invoicing
* Take up monthly accruals and prepayments for multiple entities
* Prepare and lodge monthly IAS, QTRLY BAS and yearly TPAR for multiple entities
* Prepare multiple company data files for Accountant annually incorporating asset registers
* Prepare and submit Payroll Tax returns
* Weekly payroll input and processing for 30+ employees incorporating job costing
Operations Management:
* IT support including setting up new users and equipment and 3rd party software as well as maintaining VOIP system schedule and users
* Third party software setup and integrations ensuring data integrity between systems
* Oversee day-to-day operations of both the construction and maintenance businesses, ensuring continuous improvement of workflows and controls
* HR onboarding and compliance for both the construction and maintenance businesses incorporating dealing with Fair Work issues, response preparation and Tribunal submissions as required
* Subcontractor compliance and onboarding
* Organise Apprenticeship sign ups and lodge payment claims through ADMS
* Preparation of annual insurance submissions and acceptance of proposals including Workcover
* Oversee and/or provide administrative support for all business entities
* Monitor job progress ensuring timely payments and/or escalation as required
* Maintain strong relationships with suppliers
* QBCC Annual License submissions for both entities
* Upload new project contracts to PAYAPPS
* Prepare and submit all statutory requirements for multiple entities
* Maintain company files
* Assist with answering telephones and enquiries as required
* Ad hoc tasks as required by the Director
Skills & Qualifications:
* Strong knowledge of accounting software and practices Xero, Burdi, Microsoft Suite essential
* Proven experience in operations and accounts management (preferably in the plumbing, construction, or trades industry).
* Ability to prepare and lodge monthly IAS & Quarterly BAS Lodgements for multiple entities
* Ability to prepare and lodge Payroll tax submissions
* Use of ServiceM8 and Payapps software an advantage
* Excellent communication and interpersonal skills.
* Strong problem-solving skills and the ability to manage multiple tasks effectively.
* High attention to detail and strong organizational skills.
* Ability to work independently and as part of a team.
* Previous experience in managing operational processes in a trades or service-based business is highly advantageous.
